Creating and Saving a CSV Inventory File
When your items are made-to-order or newly made, and the inventory must be managed dynamically (up or down) you can make these updates via FTP. This solution is suitable when you have a large number of SKUs that change rapidly.
For smaller SKU counts or infrequent changes, inventory may be updated manually from your account, or via a spreadsheet emailed to bulkuploads@chairsh.com.
To get set up on FTP There are several steps that you must follow, to get set up, but once you are down, ongoing updates are simple!
Pre-Setup:
The FTP option is limited to managed, wholesale accounts. If you are interested in using the FTP inventory update process, please reach out to your account manager, and they will kick off the process with the Chairish team.
Once your request has been processed, you will receive an email from the Chairish engineering team. Hold on to that email because it holds important information that is required to proceed.
Setup:
To utilize the FTP option, you will need an FTP application that supports secure inventory file transfers from your computer to your designated Chairish FTP account. A commonly used application is FileZilla (easy to download and free!) which works well with Windows, Linux and macOS.

- Be sure to have the email sent to you by the Chairish Engineering team, handy. This email contains an encrypted zip file, a private key to access your Chairish FTP account, and other details required for setup.
- Download and save this key to any location that is convenient and easy for you to locate for future updates. Some users prefer to download the encrypted zip file to their Google Drive or Dropbox account, but you can also save it to a file on your desktop.
Connecting:
Upon opening FileZilla, a popup window will appear.
Step 1: Navigate to the “Site Manager” and click on the button with the three servers as seen in the image below:
Step 2: Another popup window will appear, click on “New Site at the bottom of the window.”
Step 3:
Name the site “Chairish”
Step 4: On the General tab:
- In the Protocol dropdown select “SFTP - SSH File Transfer Protocol”
- In the Host field, type “ftp.chairish.com”
Step 5:
- In the Logon Type field, select “Key file.”
- The User field is case-sensitive. Enter the PKK file exactly as received in the email noted above, and excluding the extension (.PKK).
Example - if the PKK file provided, was vintageplus.pkk, enter “vintageplus” in the User field.
Step 6: Now it’s time to browse and search for the pkk file you saved.
- Select the Browse button. When the popup window appears make sure the dropdown in the right-hand corner is set to “All files”
Once you locate your saved pkk file double click it. The browser will close and you will be back on the General tab section again.
Select the “Connect” button.
Hit OK on the next several prompts (the number of prompts may vary based on your browser and operating system) to proceed with connecting.
The Site Manager window will close at this point and you should see FileZilla connecting to your Chairish FTP account.
Step 7:
You’ll know you have successfully connected when you see the “inventory file” appear and in the top right corner, the Status should say successful.
Updating Your Inventory:

Now you are ready to drag and drop your inventory template into the inventory folder.
- The inventory updates process runs 24 hours/day, once per hour. You can drop your file in the inventory folder whenever you like.
- Once your file has been processed, your file will be placed in one of two folders:
- Chairish Processed - successfully uploaded files will be located in this folder
- Chairish Unprocessed - unsuccessful files will be located in this folder. If you do not see your file in the Chairish Processed folder, check here.
